After analyzing the 80 proposals Oliva Nova sent last quarter (cross-referenced with the ones that got accepted), the pattern is clear. These are the sections that actually convert.

Cover

High-quality photo of the main venue. Client's event name (not yours). Issue date and validity (7–10 days). Hotel logo clearly visible.

Executive summary (10 lines)

"We propose X for Y people on Z dates in our venue A with mid-morning coffee break, cocktail lunch and private terrace access. Total investment: €13,450." That's it.

Event detail

List of what's included, structured by day timeline: setup, check-in, plenary 1, coffee break, plenary 2, lunch, networking. Visualize the event for the client.

Proposed venues

One photo per space. Capacity in different formats (theatre, cocktail, banquet). Square meters. Included technical services (wifi, screen, mics).

Economic breakdown

Clear table. Subtotals by category (venues, F&B, AV). Totals with and without VAT. Payment method and cancellation terms in footer.

Terms and next step

One line: "To confirm, reply to this email with your OK. I'll send contract in 24h."
